Registering a new company account

This support article covers the registration of a new company account under an existing Maventa admin user. The article covers the entire process from starting the registration and filling in company details to the final activation of the account and electronic signing. It also describes the registration of company accounts through accounting software that connects to Maventa by API, the country-specific rules for registration channels, company identifiers and authorisation methods, and the handling of common situations, such as a company account that already exists. The Maventa documentation, linked in each section, has the technical details for integrations.

Ways to register a new company account

A new company account can be registered in two ways:

  • In the Maventa user interface: a user with admin-level user rights registers the company account under their existing Maventa user. This option is available for companies in Finland, Sweden, Norway and Denmark.
  • Through accounting software: the company account is registered in accounting software that is integrated with Maventa. The software creates the company account through the Maventa API. In some countries, only accounting software that Maventa has approved as a trusted provider can register company accounts.

If the country of the company account cannot be registered in the Maventa user interface, the registration needs to happen through accounting software that supports the country in question. Maventa services cannot be used in these countries without such accounting software. More information can be found in the section Country-specific rules.

Registering a new company account by an existing admin user in the Maventa user interface

Maventa users with admin-level user rights can manage multiple company accounts under the same user if needed. The registration of a new company account takes place directly within the Maventa user interface using existing credentials.

ℹ️ The registration in the Maventa user interface is available for companies in Finland, Sweden, Norway and Denmark. Companies in other countries are registered through accounting software.

Registering a company account

📌 These instructions apply to admin users who already have Maventa credentials.

If both a new company account and a new admin user account are needed, the registration is done through the Maventa login page according to these instructions: Registering a new company account and admin user via the Maventa login page.

The registration of a new company begins by logging into the service and navigating to the Create company -section within the account settings. This view opens the company registration form.

In the form, you first define the account type, the country of operation, and the software environment through which Maventa is intended to be used. To identify the company, the official name and Business ID are provided, and postal address information is filled into the designated section. In the settings, it is mandatory to provide at least the company's email address, but a separate address for automatic notifications for received invoices (Inbound invoice notification email) can also be specified if needed.

Once all required information has been entered, the registration is confirmed, and the system provides an acknowledgment of the successful account creation.

Follow these steps to register a new company:

  1. Navigate in your Maventa account to: Settings > Company tools > Create company

  2. Fill in the following sections in the registration form:

    • Basic Information: Select the account type, country, and the software environment to be used

    • Company Information: Provide the company name and Business ID

    • Postal Address: Enter the details under the "Add postal address" section

    • Settings section: Define at least an email address for the company and, if necessary, a separate email for automatic notifications for received invoices

  3. Save the information and confirm the registration by clicking the Register button

  4. Activate and authorise the registered company account according to the instructions below

💡 The registration form shows the supported identifier types for the selected country next to the Business ID field.

Activating and authorising a company account

After registration is complete, the new company account must still be activated and verified. This is done by switching the view to the recently created company account via the menu located in the top right corner of the user interface. Once the correct company account is selected, the user sends an invitation for the required authorisation signature to the person with official signing rights for the company within the setup settings.

📖 Maventa documentation: Company account creation over UI

The signing process is completed according to the instructions in the invitation received via email. Once the electronic signature has been provided, user can return to the Maventa service and confirm the process by clicking the Continue -button.

Follow these steps to configure the setup settings and authorise the company account:

  1. Select the recently registered company account from the top right corner of the service under your name at Select company

  2. Send the company authorisation invitation to the person with official signing rights using these instructions: Setup settings - Step 3: Authorisation of the company and opening the Bank network connection

    • The signature invitation for account authorisation is sent as a separate email to the email address specified in the setup settings. The process is carried out according to the instructions in the invitation.

  3. Once the signing process has been successfully completed by the signer and Maventa has performed the account registration check, click the Continue button in Maventa.

After these steps, the company account is ready for use.

📌 Please note: The signer must have the right to represent the company (signing rights or power of attorney). The person who registers the company account does not need to be the signer. The signing method depends on the country of the company.

More information can be found in the section Country-specific rules.

Registering a new company account through accounting software

Accounting software that is integrated with Maventa can register new company accounts through the Maventa API. The registration is then done in the accounting software, not in the Maventa user interface. The accounting software provider gives instructions on how the registration works in their software.

Registration through accounting software is required when the country of the company cannot be registered in the Maventa user interface. In this case, the accounting software must support the country in question.

The registration through the API follows the same main steps as in the Maventa user interface:

  1. The company account is created with an identifier that is supported in the company's country.
  2. The settings of the company account are configured.
  3. The company account is authorised. Depending on the accounting software and the country, the authorisation takes place either by electronic signing in Visma Sign or through the accounting software provider's own customer authentication process.

ℹ️ Invoices cannot be sent or received until the company account has been authorised.

The API methods, supported identifiers for each country and authorisation options are described in the Maventa documentation: Companies and settings.

Country-specific rules

The registration works slightly differently in each country. The rules depend on whether Visma Sign electronic signing is available in the country of the company account:

  • Countries supported by Visma Sign (Finland, Sweden, Norway, Denmark and the Netherlands): company accounts can be registered in the Maventa user interface or through any accounting software that is integrated with Maventa. Dutch company accounts are the exception, as they can be registered only through accounting software.
The company account is authorised by electronic signing, or through the accounting software provider's own customer authentication process when the registration is done through accounting software.
  • Countries without Visma Sign support: company accounts can be registered only through accounting software that Maventa has approved as a trusted provider. The company account is authorised through the accounting software provider's own customer authentication process.

ℹ️ In countries where company accounts cannot be registered in the Maventa user interface, Maventa services can be used only through accounting software that supports the country in question.

Questions about registration in these countries are directed to the accounting software provider, who contacts Maventa customer support when needed.

📌 Please note: When a company account is authorised through the accounting software provider's own customer authentication process, the provider has already authenticated the company's representative strongly in their own service.

🇫🇮 Finland

  • Identifiers: Business ID (Y-tunnus) or VAT number.
  • Authorisation in the user interface: Finnish companies are authorised with the Finnish signatory check. The person registering the company enters the email address of a person with official signing rights (nimenkirjoitusoikeus), who receives a personal invitation link. The signatory does not need a Maventa account. The signatory enters their Finnish personal identity code and selects their bank.
  • Signing rights check: Maventa checks the signatory's signing rights from the Finnish business register before the signature is collected. If the company requires joint signing rights, all required signatories must sign. After the first signature, the registering user is asked to invite the next signatory. If the person has no signing rights, the process stops, and a new invitation can be sent to another person.
  • Validity of the invitation: the invitation link is valid for 7 days. Once the signing has started, it must be completed within 15 minutes. If the time runs out, a new invitation can be sent.
  • Authorisation through accounting software: the authorisation takes place in Visma Sign with Finnish online banking credentials or mobile ID, or through the accounting software provider’s own customer authentication process.
  • Bank network connection: the authorisation automatically creates an opening request for the bank network connection. The opening is approved by the bank and usually takes a couple of days.

Questions about registering company accounts are directed to the accounting software provider. The accounting software provider contacts Maventa customer support about registering company accounts in other countries.

Handling common situations

Company account already exists

Each Business ID can be registered in Maventa only once. If the company already has a Maventa account, a new registration with the same Business ID is rejected. Changes to an existing account, for example a change of management, are handled by Maventa customer support.

If a company with an existing Maventa account takes new accounting software into use, the existing company account is linked to the new software. A new registration is not needed.

More information is available in the Maventa documentation: Companies and settings - Existing company.

Company account is not authorised

The company account can be registered, but invoices cannot be sent or received until the authorisation has been completed. If the signer did not sign within the validity period of the invitation, a new invitation can be sent.

📌 Please note: The signer must have the right to represent the company. If the person who received the invitation does not have signing rights or a power of attorney, a new invitation must be sent to a person who does.
