Received invoices tab
This article explains how to manage incoming invoices in the Maventa user interface. You can search for invoices, select the columns to be displayed, view the details of an individual invoice and download an invoice list.

In the Maventa user interface, received and sent invoices are on their own tabs. The user can customise the view by defining the number of invoices displayed on a single page (25, 50 or 100).

Invoice search
On the Received invoices tab, purchase invoices can be searched specifically using the following search criteria:

Invoice number

Sender name
-
Unique identifier (ID) of the invoice
The search can be refined by limiting it to a specific period. By clicking the search field, fields for adding dates will appear. The date range can be removed by clicking the cross next to the fields.
Please note the system's retention periods when searching for invoices:

Retention period: Maventa retains invoices in the interface for 24 months

Older invoices: Invoices older than two years are no longer available through Maventa. Please ensure that invoices are archived in your accounting records or another external storage location within the retention period
💡 If your search yields no results, check that you are on the correct tab and that the invoice you are looking for is not older than 24 months.
Column selection
The columns of the invoice listing are customisable, allowing the user to select only the necessary information to be displayed. The selectable fields are:

Details of an individual invoice
Detailed information for an individual invoice is opened by clicking the invoice row or the Tab icon. All files related to this invoice are collected in the Invoice attachments section.

Open or save files using the PDF and XML buttons.

Download a copyable virtual barcode by selecting Virtual barcode.
Reporting fraud invoices
If an invoice is suspected to be a fraud, it can be reported to the system using the Report fraud button. Please, indicate the reason, such as a non-existent product, non-existent company, or misleading marketing.
⚠️ This function is intended only for the prevention of criminal activity. Please note that it is not intended for clarifying invoice content or reporting disputes, nor can it be used to refuse payment.
Downloading the invoice list
The user can download the invoice listing of the visible page in XLS or CSV format. The content of the file is directly linked to the page-specific setting: if the view is set to "25 invoices per page", the downloaded file will contain a maximum of 25 invoices.
