14.01.2026 - Delays in the processing of scanned invoices
We have identified delays in the processing of invoices received through our scanning service. We apologize for any inconvenience this may cause, and would like to provide an update on the situation and the actions we are taking to normalize the situation.
Status update and causes of delays
Processing queues are currently longer than usual. Please be prepared for potential delivery delays of a few business days for certain invoices. These delays are primarily due to the following factors:
-
Exceptional documents: Particularly long invoices or those with large file sizes have been routed to a separate error queue. This is a controlled measure to ensure they do not interfere with the standard processing of other invoices. These documents are handled and corrected manually, no later than the following business day.
-
System maintenance: Our service provider is currently performing scheduled database updates to ensure system performance moving forward.
-
Email traffic: Our provider is closely monitoring the SMTP server for any potential anomalies or disruptions.
Actions and future outlook
We are working actively with our service provider to speed up invoice delivery:
-
Additional resources: Our provider is increasing staffing for manual processing to clear the backlogs more efficiently.
-
New platform: Our provider is migrating invoice volumes to their own software platform during the second quarter of 2026. This transition is expected to significantly improve processing quality and speed.
-
Continuous monitoring: Documents in the error queue are monitored daily to ensure immediate corrective action.
Instructions for Customers
-
Error messages: If a sender has received an error message when attempting to submit an invoice, or if you suspect an invoice is missing, please re-submit those specific invoices.
-
Other invoices: Invoices sent normally are progressing through the queue and do not need to be re-submitted unless an error message was received.
We will keep you updated on the progress and will update this announcement as the situation evolves.
We appreciate your patience as we work to restore the quality and speed of our service.
