Amili Perintä (fmr. Reskontravahti Express) for Finnish companies
Amili Perintä is is an added-value service provided by Maventa and Visma Amili Oy, which facilitates the reminder and collection of individual overdue invoices for Finnish companies. The service integration is available at no extra cost. However, additional costs related to further debt collection measures may arise in later stages of the collection process.
Payment monitoring steps
This guide explains how Visma Amili Oy handles invoice reminder and collection processes. Reminders are sent a certain number of days after the due date, and a payment notice is issued when the collection process begins
Steps:

Transfer the invoice to the Amili Perintä service:

For B2B invoices: The first reminder is sent 10 days after the due date

For B2C invoices: The first reminder is sent 14 days after the due date
Initiate the collection process:

If the invoice is transferred directly to collection, send a payment notice first
Delivery methods:

Letters are normally sent by mail

Letters are not sent on weekends or public holidays, which may cause a delay of a few days in the schedule
Write reminders and collection letters in the language specified on the customer's invoice (Finvoice InvoiceRecipientLanguageCode). The default language is Finnish.
Activating Amili Perintä service

Activate the service: Go to the settings of your Maventa account and select Amili Kassavirta > General settings. Choose Amili Perintä as the service type.

Fill the form: Enter the necessary information and click "Continue" to start the activation

Complete the activation: Click the Netvisor KYC service link. This includes accepting the service's terms and conditions. Finalize the activation by completing the information request form using personal online banking credentials or mobile certificate

Service usage: The service will be activated within 1-2 days without additional charges
Information Required for Activation

Bank account details: Provide the bank account details of your company for settlements. Payments always use the reference number of the original invoice, so receivables are allocated typically on the ERP side. The payer will appear as VISMA AMILI

Contact information: Provide the contact details of the person we can reach out to regarding Amili Perintä

Customer service details: Information needed for customer inquiries

Billing information: Provide billing details for service fees and VAT
For example, service fees related to possible legal costs in later collection stages. Also, VAT on debt collection fees, compensation, or expenses accrued from the debtor is billed to the client if the client is entitled to deduct the VAT on the collection fee. This VAT does not increase collection costs as it is fully deductible. More information about service fees can be found in the price list of Visma Amili Oy.
Note: If the activation process is interrupted, we will send a reminder form to the contact person's email within a week.
In compliance with the Anti-Money Laundering Act, Visma Amili Oy must ensure they know their customers and their activities. The person responding to the information request must have the authority to act on behalf of the organization based on their position or a power of attorney. If the representation is based on a power of attorney, the power of attorney must be attached to the form.
Transfer of invoices to reminder and collection process
This guide describes how to transfer overdue invoices to a reminder or directly to the collection process using the Amili Perintä service.
The transfer occurs from the data of sent invoices through the user interface. Once the due date of an invoice has passed, a new button "Transfer invoice to reminder or collection process" will appear in the invoice information. You can then choose to which process you want to transfer the invoice.
Find the invoice to transfer:

Navigate to the list of invoices in the Amili Perintä service

Select the overdue invoice you want to transfer
Select the process:

In the invoice information, click the new button "Transfer invoice to reminder or collection process"

Choose "Reminder and collection" or "Collection" depending on your needs
Monitor the status of the transfer:
The status of the transfer can be seen in the invoice information:

"Transfer pending" means that the transfer is in progress

"Transferred successfully" confirms that the invoice has been transferred
Check for possible errors: If the transfer fails, check the recipient's address details. This is the most common barrier to transfer
Required Information on the Invoice:

Complete postal address of the recipient

The due date must be in the past

Invoice currency: EUR

The invoice amount must match the sum of line items

The invoice must have a reference number

Recipient's language code if you wish to send letters in a language other than Finnish (default language)
Note on the use of invoice numbers:
Use a unique invoice number. However, there are a few exceptions mentioned below:

If the new invoice has a different invoice date than an existing assignment (open or closed), a new assignment is created with the same invoice number. The old assignment remains.

If the new invoice has the same invoice date as an existing closed assignment with no payments or credit notes (sender manually closed or canceled), a new assignment is created with the same invoice number.

If the new invoice has the same invoice date as an existing open assignment with no payments or credit notes, and the original invoice related to that assignment is in error status, the existing assignment is closed, and a new assignment with the same invoice number is created in the service.
Customer grouping in Amili Perintä
Customer groupings (customer-specific collection limitations) are also functional in the context of the Amili Perintä service, but their use may not necessarily be useful or appropriate
Disabling the Amili Perintä

Navigate to the settings tab of Amili Kassavirta

Press the "Deactivate" button

After this, the service will be disabled
Note that Visma Amili Oy will continue to manage open assignments.
