What is the Peppol network?
Peppol (Pan European Public eProcurement On-Line) is a European network established for the transmission of electronic documents. The European Union aims to ensure that, in the future, all public procurement processes are conducted electronically in accordance with standardized procedures, with Peppol representing a significant advancement towards this objective.
By registering with the network, companies can receive electronic invoices from all entities capable of transmitting them via the Peppol network.
It is possible to send e-invoices to the Peppol network without requiring separate Peppol registration. Registration to the network is complimentary, while the receipt of invoices is subject to charges as per our standard pricing list.
All invoices transmitted through the Peppol network are formatted in the Peppol Bis format. For Maventa's clients, this implies that invoices arrive at Maventa in the Peppol Bis format, and upon downloading, the material is converted into a format compatible with the customer (e.g., Finvoice). If an invoice is sent through the Peppol network, it is converted to the Peppol Bis format.
The company's Peppol e-invoice address comprises a prefix and an identifier. An example of a PEPPOL e-invoice address is 0216:003712345678 @ PEPPOL. Maventa has implemented a modification to the Peppol address billing identifier (scheme ID) to align with the guidelines of the State Treasury (the Finnish Peppol authority).
All new registrations to the Peppol network utilize the new code identifier 0216. It is important to note that the prefix varies between different countries and organizations.
The new Peppol address format is 0216:003712345678, where 0216 is the code identifier, and 003712345678 is the company's OVT identifier.
What is a Peppol Access Point?
Maventa acts as one of the Peppol Access Points in Finland. This enables registration through Maventa to the Peppol network for receiving and sending e-invoices and electronic documents to other Peppol recipients. A Peppol Access Point acts as an e-invoicing operator or intermediary, allowing the sender to deliver the invoice through their Access Point to the recipient's Access Point.
When an invoice is sent through the Peppol network, Peppol is stated as the intermediary, not the name or operator identifier of, for example, Maventa. The sender's Access Point forwards the invoice to the Peppol network, and since only one Access Point can be used for receiving invoices, the invoice is routed to the recipient's Access Point and further to the recipient.
Supported countries and member states of the Peppol network
Countries supported by Maventa and identifiers used in registration (schemes):
Finland: e-invoice address + prefix 0216, e.g. 0216:003712345678
Norway: organisation number + prefix 0192, e.g. 0192:123456789
Sweden: organisation number + prefix 0007
Denmark: CVR number + prefix 9902
Netherlands: KvK number or VAT identifier + prefix 0106 or 9944
Note that current billing information should always be primarily verified directly from the recipient, and Maventa cannot take a stand on behalf of the recipient.
OpenPeppol currently includes 42 member states, and certified Access Points are available in 36 countries.
These member states include 32 European countries and Australia, Canada, China, India, Japan, Malaysia, Mexico, New Zealand, Singapore, and the United States. OpenPEPPOL has certified Access Points in 29 European countries and in Australia, Canada, China, Japan, New Zealand, Singapore, and the United States. Opening and closing the Peppol network connection
By registering with the Peppol network, a company can receive electronic invoices from all companies capable of sending them through the Peppol network. Changes made to the company's Peppol settings do not affect the sending of invoices.
To send invoices through the Peppol network, the company need to be registered with the network.
Registration is free of charge, and invoice reception is charged according to our standard price list.
If the company has already registered to receive invoices through another connection point (i.e., operator) and wants to switch to using Maventa, the old connection point must first be deactivated before registration through Maventa can be completed.
Here are the instructions on how to register as a recipient through Maventa's interface:
- Log in to your Maventa account
- Select Settings from the top menu
- Select Invoice settings > Invoice receiving from the left
- Activate under Peppol e-invoicing
company's Peppol e-invoice address appears, and can be notified to suppliers.
If the Peppol connection is not needed, the account's admin user can disable it by logging into the company's Maventa account and making the necessary changes by selecting
- Settings
- Invoice settings
- Invoice receiving and then PEPPOL e-invoicing
- Disable.
What material can be sent through the Peppol network?
E-invoices
Outgoing invoices in Finnish formats (Finvoice, TEAPPS) are converted to the PeppolBis format.
Received PeppolBis invoices are converted to the Finnish invoice format used by the customer.
PeppolBis validation rules are stricter compared to Finvoice or TEAPPS.
